That gap is where operators get violated. It's where buyers walk away from pre-buy inspections. And it's entirely preventable.

What Aircraft Maintenance Records Must Actually Include

The regulation everyone cites is 14 CFR 91.417. But the regulation is just the skeleton. The meat is in what "current status" actually means in practice — and that's where most operations drift.

At minimum, the records for each aircraft (including engines, propellers, rotors, and appliances) have to show:

Total time in service — not just airframe hours. Engine hours. Prop hours. APU cycles if you have one. Every rotating component that lives or dies by a calendar or cycle limit needs its own running total.

Current status of life-limited parts — this is the big one. Every part with a mandatory replacement limit (landing gear components, turbine disks, rotor hubs, certain fasteners) needs a traceable record showing: part number, serial number, total cycles/hours since new, total cycles/hours since last overhaul, and the limit itself. Not "due at 5,000 cycles." The current* number. Today's number.

Airworthiness directive compliance — every AD that applies to the airframe, engine, propeller, or appliance. Not just "AD 2023-12-05 complied with." You need the method of compliance, the date, the hours/cycles at compliance, whether it's recurring, and if so, the next due point. One-time ADs need a clear "terminated" notation. Recurring ADs need the next due time and the method — because next year's mechanic needs to know how to do it again.

Inspection status — current inspection program (annual, 100-hour, progressive, AAIP, CASP, or manufacturer's program). Last completion date and hours. Next due date and hours. If you're on a progressive program, which phase was last completed and when the next phase is due.

Major repairs and major alterations — Form 337s (or EASA Form 1 equivalents) with current status. Is that STC still valid? Was the repair inspected and returned to service? Are there recurring inspections tied to that repair (like a doubler inspection every 1,200 hours)?

Service bulletins and service letters — not mandatory unless adopted by AD, but if you've complied, it goes in the records. If you haven't*, a prudent operator notes "SB 72-045 reviewed, not applicable" or "SB 72-045 not incorporated — evaluated for fleet." Silence creates questions later.

Weight and balance — current empty weight, CG, and equipment list. Every time something comes off or goes on, the numbers change. The record must reflect the current* configuration.

The Trap of "Current Status"

Here's what trips people up: "current status" isn't a snapshot from last annual. It's right now*. That said, if you flew 47 hours since the last entry, the current status includes those 47 hours. If you swapped a starter last week, the current status reflects the new starter's hours since new (zero) and the old starter's final time (for your component tracking).

I've seen operators keep beautiful historical records but fail to update the current* column after every flight. That's not a record — that's an archive.

Why This Matters More Than You Think

Most mechanics learn the regulations to pass their A&P written. Then they learn the real* reasons on the job.

Airworthiness is a daily question, not an annual one. When a pilot does a preflight, they're implicitly asking: "Is this aircraft airworthy today*?" The maintenance records are the only legal proof that the answer is yes. If the records don't show current status of life-limited parts, you can't legally determine airworthiness. Full stop.

Pre-buy inspections expose everything. I've watched deals collapse because a seller couldn't produce current status on a set of main landing gear struts. The buyer's mechanic found the overhaul records from 2018 — but no cycles-since-overhaul entry for the last four years. The buyer walked. The seller lost $150K on the deal. All for a spreadsheet that would've taken twenty minutes a month.

Insurance and liability. Post-accident, the first request from the insurer's attorney is the maintenance records. If the current status of an AD-compliance item is blank, or the life-limited part tracking has gaps, the insurer has grounds to deny coverage. They will* use it.

Regulatory actions. The FAA doesn't need an accident to ramp check your records. How to Build a System That Actually Works

You don't need expensive software. You need a process that survives the mechanic who built it leaving for another job.

1. Master Component List (MCL)

Start with a living document — spreadsheet, database, or the MCL module in your maintenance tracking software — that lists every serialized, life-limited, or time-controlled component on the aircraft. Columns:

  • Nomenclature (per illustrated parts catalog)
  • Part number
  • Serial number
  • Position (LH main, #2 engine, etc.)
  • Limit type (hours, cycles, calendar)
  • Limit value
  • Total since new
  • Total since overhaul/repair
  • Date installed
  • Hours/cycles at install
  • Next due (calculated)
  • Notes (SB incorporation, repair history, etc.)

Update this every time* the aircraft flies. Not monthly. Every flight. Because of that, the pilot or mechanic on duty enters the new totals. It takes thirty seconds.

2. AD Tracking Matrix

Separate sheet. Every AD that has ever applied to this airframe/engine/propeller/appliance combination. Columns:

  • AD number
  • Amendment
  • Subject
  • Applicability (does it apply to this* serial number?)
  • Method of compliance (AMOC, SB, inspection, replacement)
  • Date complied
  • Hours/cycles at compliance
  • One-time

or recurring

  • Next due (for recurring ADs)

For one-time ADs, the "Next due" column gets a simple "N/A" or "Complete." For recurring ADs, this is the calculated next interval. This matrix is your legal shield. Even so, when an inspector asks, "Show me the current status of AD 2019-04-12," you don't search through a file cabinet. You hand them a single, clean page.

3. The Discrepancy Log

We're talking about the third pillar. Now, a simple log for every maintenance action, big or small. Date, description of work, part number/serial of any replaced component, new total time on that component, and the mechanic's signature and certificate number. In real terms, this log bridges the gap between scheduled inspections and the day-to-day reality of aircraft ownership. It captures the "oh, by the way, we replaced the #3 fuel nozzle last Tuesday" moments that otherwise vanish into the ether.

The goal is a three-ring binder or a shared cloud folder that tells the entire maintenance story of the aircraft in three documents. Anyone — a buyer, an inspector, an insurer — should be able to determine the current status of any airworthiness item in under a minute.

The Bottom Line

Maintaining current status isn't a bureaucratic chore; it's the foundation of safe operations and your financial position as an owner or operator. It's the difference between a smooth insurance claim and a coverage denial. Still, it's the difference between a confident handshake over a deal and a tense walk-away. It's the difference between being a compliant operator and being a headline.

The tools are simple. The discipline is everything. Build the system. Use the system. Think about it: let it be the unassailable record of your aircraft's integrity. Because when the time comes to prove it, anything less than "current status, fully documented" is a full stop.
